Warehouse Reception Administrator

Scope/ Overview of Position:

As the Warehouse Receptionist/Administrator, you will be the first point of contact for all visitors coming into the warehouse this includes: temporary workers, contractors and clients. You will be responsible for coordinating the set up of all temporary workers which includes: processing paperwork, time clock set up, entering personnel information into the time and attendance system and conducting the health and safety orientation through facilitation of the employee handbook.

This role reports directly to Human Resources and will require someone with strong administrative and customer service skills along with the ability to handle confidential information. You have good working knowledge of MS-Office including Word and Excel and have a strong clerical background with the ability to take on Human Resources and Health and Safety Admin projects as required. The Warehouse Receptionist/Administrator will work independently to provide clerical support for multiple departments including: Security, Human Resources, Health and Safety, Payroll and Operations.

Key Responsibilities & Duties:

Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Ensure Time and Attendance tracker is up to date
Receive visitors with a warm welcome and announce them appropriately to the manager they are visiting
Provide basic and accurate information in-person and via phone/email
Welcome new temporary workers and coordinate setup including paperwork processing and time clock set-up.
Present Health and Safety orientation for Temporary workers
Assists Managers responsible for security, safety & facilities with duties as needed including creation of health and safety policies and procedures.
Works independently and is comfortable working alone with minimal direction
Perform other clerical duties such as work with MS-Office, National Time and ADP Payroll
Assist HR and Health and Safety with projects as needed.

Qualifications, Education and Experience Required:

A minimum High School diploma is required
2-3 years of related reception/ administrative experience
Strong working knowledge of Windows, Excel, Word, Outlook and PowerPoint
Solid Data Entry Skills (accuracy is imperative)
You’re approachable, positive and enthusiastic with a strong customer service mind set.
You are a quick learner with other software systems
Must have the ability to multitask and provide clerical support to multiple departments
Impeccable written and verbal communication skills are a must
Able to work independently with little interaction with others and minimal supervision
Excellent organizational skills
Keen eye for detail
Must have own transportation as this site is not accessible by public transit
